Job Summary
Performs clerical and manual work involved in the receiving, inspecting, recording, storing, and issuing equipment, materials, and supplies. Ensures that an available supply of commonly used goods is stocked for various University departments.
Responsibilities
Receiving (40%) – Receive deliveries of materials, equipment and supplies from local delivery, motor freight, parcel post, etc. in order to account for incoming goods. Verify accuracy of the shipments, log tracking numbers, deliver packages to the labs and obtain signatures (modified duties for COVID are to stay on the dock and be available for the labs to come pick up their deliveries and document who picked up rather than have them sign). Maintain records of items received and issued to University departments. Maintain a clean and orderly dock.
Inventory (10%) – Make sure that all non-capital and capital equipment have the proper yellow or red tags, and tracking RFID tags applied. Document the tag number and location on the order in the Sienna purchasing system. Process the annual capital equipment inventory, the annual freezer insurance inventory and non-capital inventory every other year. Process retirement and transfer forms and work with surplus and transportation for pickup and disposal of unwanted items.
Reconciling (30%) – Match the monthly management report charges to the records in the database. Verify that the proper documentation is attached or track down documentation that is missing. Follow up with the Admin Manager if there are questions or discrepancies.
Data entry (5%) – Enter items into database that are not generated by our admin group; i.e. cores invoices, UIT , deposits
Purchasing backup (10%) – When the Buyer is unavailable, place orders, track missing shipments, process returns
Front desk backup (5%) – When the Academic Coordinator is unavailable, answer phones, sort mail, customer service

Minimum Qualifications
The ability to move or manipulate heavy objects; the ability to read and write in English; demonstrated human relation skills; and a commitment to provide excellent customer service required. A knowledge of inventory control procedures would be helpful. Six months storeroom experience preferred. A valid Utah Driver’s license with proof of insurability may be required for persons in positions that require delivery.
