Job Summary

We seek a new member to our team of administrative professionals who provide support for the Internal Medicine Education Office, which oversees the Internal Medicine Residency Program, Subspecialty Fellowship Programs, and Medical Student Courses.


1.Oversee specific components of daily program operations and program activities, which can include trainee schedules, evaluations, assignments, educational conferences, leave requests, work hours reporting, recruiting, orientation, dinners and events, etc.

2.Compile, sort, and organize confidential data for database entry and filing.

3.Provide administrative support for program leadership.

4.Enter information into databases and assist with basic troubleshooting and routine software updates.

5.Assist with trainee recruiting, which may include interview scheduling, communicate interview schedule with faculty members. May manage applicant RSVP’s and ordering. After recruiting season, assist with new hire form collection and processing.

6.Distribute, collect, and analyze information such as personnel reports and surveys. Assist with faculty mentoring and faculty advisory programs. Advises staff, trainees, and others regarding program policies, goals and related technical issues.

7.Purchase program materials within a stated budget and maintain related documentation. Processes travel and expense reimbursement requests in accordance with University policies.

8.Prepare letters of recommendation, verification of training, and loan deferment forms and prepare forms for semi-annual housestaff reviews.

9.Assists department with business planning and goal setting.

10.Assists with the implementation of department and University policies and procedures.

11.Additional support related duties as needed and assigned.

Problem Solving:

This position provides independent coordination and decision making for all activities of a specified program. The program outcome often impacts the University as a whole. Acts as a liaison between internal and external constituencies involved in program activities. Problems arising from these coordination efforts will be addressed by the incumbent who will refer to the manager for issues outside of program policy and procedure guidelines.

Minimum Qualifications

Bachelor’s degree in a related field plus one year directly related experience or equivalency required. Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

•Moderate to advanced computer proficiency with Microsoft Word, Excel, and Outlook is strongly preferred. Familiarity with Microsoft Access, Powerpoint and the ability to learn new computer programs quickly is preferred.
