Job Summary

The Department of Obstetrics & Gynecology has an opening for an Outpatient Services Specialist in the Division of Gynecologic Oncology. The Outpatient Services Specialist provides exceptional care for our patients and guests by offering them professional service and creating a memorable patient experience. The incumbent accurately and professionally handles all front desk operations including, but not limited to, patient scheduling and payment collections. The core responsibilities of this role maximize efficiency through facilitating and ensuring the accuracy of the information flow between patients and clinical staff. This position will cover at two locations. On Thursdays, clinic will be held at IMC in Murray. The rest of the week will be based out of our Women’s Health clinic located in the upper Avenues in Salt Lake City.


Essential Functions

  • Schedules patient appointments; contacts patients for rescheduling, missed appointments and appointment reminders/confirmations
  • Manages upcoming clinic schedules; verifies appointment notes are correct; monitors cancellation waitlist and double-bookings
  • Phone duties; monitoring voicemail inboxes
  • Checking patients in and out
  • Manages the cash drawer; notifies patients and their families of co-pays, deductibles, and co-insurance as appropriate and collects co-payments
  • Enters referrals in EPIC
  • Creates and follows up on outbound referrals; manages outbound referral queue in EPIC
  • Follows up on EPIC encounters, e-mails and iCentra messages sent to scheduling team
  • Manages and corrects Missing Registration Workqueue
  • Completes medical records requests
  • Obtain prior authorizations for imaging
  • Works with UMB to pick up deposits
  • Opens and closes front door and physical charts cabinets
  • Collects, sorts and distributes mail
  • Sort and distribute incoming faxes
  • Assists with supply management; takes stock of office supplies
  • Filing, scanning and archiving
  • Other duties as assigned
  • Monitors patient flow; adjusts workflow accordingly and notifies the clinical staff
  • Communicates with patients in a confidential professional manner using tact and diplomacy

Minimum Qualifications

• One year of office experience, customer

service experience, or the equivalency.

• Current, valid Utah driver’s license at

time of hire may be required in some
