Job Summary

Pediatric Cardiothoracic Surgery has an immediate opening for a Scheduling Coordinator. The scheduler will answer phones and triage patient concerns in a fast-paced, team environment making a difference for patients in an outpatient care unit by providing excellent customer services, facilitating and ensuring the accuracy of the information flow between medical, hospital staff and departments to maximize unit efficiency.

Responsibilities

1. Answer and triage a high volume of incoming calls from parents, physicians, pharmacies, labs, etc.

2. Quickly and effectively switch between calls and other assigned tasks.

3. Schedule and register patients in iCentra including complex coordination of various specialties and testing.

4. Correspond via email, phone and Electronic Medical Records with department physicians and staff.

5. Maintain and utilize organized work lists, including reminder calls, wait lists, referrals , registration, insurance verification, insurance pre-authorization and filing clinics.

6. Comply with Federal and University privacy guidelines (includingHIPAA) in entering health information into Electronic Medical Records.

7. Perform other related duties as assigned.

This position will have a 6 month probationary period. Throughout the probationary period, employment is at will and employees can be released for business reasons substantiated by the hiring department, subject to review and approval by University Human Resources Management.

Minimum Qualifications

Three years of experience working in an office or clinic, with an emphasis in scheduling, or a related area, or equivalency; and demonstrated effective communication, human relations, and computer skills required. Some areas of assignment require completion of a medical terminology course, certification related to specific area, and/or additional years of related experience.

This position is patient-sensitive and must fulfill all associated requirements. Preferences

Familiarity with Microsoft Office and ability to navigate four to eight concurrent computer programs effectively.

Typing speed of 40WPMor more

Experience with Electronic Medical Records systems and medical terminology strongly preferred.

Fluent Spanish speaking skills.

Experience in medical office scheduling and phone customer services.

Ability to deal well in stressful situations in a high functioning office.
