Job Summary

The Division of Pediatric Neurology in the University of Utah School of Medicine has an immediate opening for an experienced Administrative Assistant. The Administrative Assistant will provide support for a thriving pediatric subspecialty program with more than 20 team members. Responsibilities

Essential Functions

1.Assists the Utah Program for Inherited Neuromuscular Disorders ( UPIN ) with business planning and goal setting.

2.Assists UPIN Director and Principal Investigator with the development of division budget.

3.Assists UPIN Director and Principal Investigator in supervision of staff activities. May assign, direct and review work of support staff.

4.Prepares reports, financial statements and records on program status and progress for management and outside agencies.

5.Coordinates the collection and preparation of operating reports.

6.Assists with the implementation of department and University policies and procedures.

7.Provides administrative support to providers by scheduling appointments, coordinating meetings and conferences, travel support and maintaining and ordering office supplies.

8.Provide scheduling support. Review conflicts, set up meetings, and respond to inquiries.

9.Manage and regularly update the UPIN website.

10.Assist coordinators and other staff in maintaining study records.

11. Assist Division Manager and Administrative Assistant in tasks such as preparing reimbursements, coordinating academic meetings and conferences, taking meeting minutes, resident/student scheduling, etc.

12. Work with Program Director and Principal Investigator to create staff schedules and associated reports.

13. Assist Program Director with coordination of staff training, on-boarding and off-boarding.

14. Coordinate family meetings and fundraising events.

15. Prepare meeting agendas and minutes.

16. Actively participates in quality improvement initiatives.

17. Perform other duties as assigned.

Problem Solving

This position is responsible for solving office problems such as payroll or accounts payable issues, solving staff, faculty and student problems or directing them to someone whom can and supervisory and personnel issues. Plans and expedites the flow of work while ensuring the smooth operation of the office under the pressure of frequent interruptions and changes in priorities.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

This position is patient-sensitive and must fulfill all associated requirements. Preferences

Knowledge of basic bookkeeping practices and direct supervisory experience.

Four years secretarial experience with at least two years’ experience in a medical office setting, such as a hospital, clinic or laboratory; and knowledge of medical terminology.

Strong Microsoft Excel skills preferred.
