Job Summary

The Natural History Museum of Utah seeks a full-time administrative professional to provide accounting and office support to our Philanthropy & Communications department. This position will help maintain and oversee the processing, accounting, and reporting of approximately $3 million in annual contributions; manage department budgets; and provide general department support. This individual will also work closely with NHMU’s accounting team and the University’s central development office.

This position is considered Category IIA : Not required on campus and has the ability to telework remotely for the duration of the University of Utah’s response to COVID -19. An employee hired into this role will be responsible for providing space, telephone, printing, networking and/or internet capabilities at the telecommute location and agree to the terms of the University of Utah campus and Health Academics COVID -19 Telecommuting Agreement

Responsibilities

Key responsibilities:

-Conduct monthly revenue and expense reconciliation with University accounts, including the central development office and the University’s financial accounting systems

-Track accounts receivable, accounts payable, purchase cards, and travel reimbursement for the department

-Track department budgets and maintain detailed analysis of expenses and revenues

-Collect, organize, and analyze data for specialized reports, departmental metrics, and specific grant-funded initiatives

-Maintain records, process gifts, prepare deposits, and assist with data entry in Altru, the Museum’s CRM system

-Provide general administrative support to the Philanthropy & Communications team, including assisting with and staffing special events as necessary

-Help supervise department interns and student staff as needed

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

Preferences

The successful candidate will have: strong communication skills to liaise with members of the Museum’s accounting team and colleagues on campus in the central development office; an understanding of accounting and bookkeeping practices; an aptitude for creative problem-solving; and a passion for the work of the Natural History Museum of Utah, including a desire to help the Philanthropy & Communications department foster deep relationships with those we serve. A commitment to excellence in customer service – and to exceeding the expectations of our colleagues, friends, and supporters – is essential. Experience with CRM software, such as Altru, and accounting software is preferred. Strong Excel skills are critical for success in this position.
