Job Summary

Provides secretarial and administrative support in a hospital, clinic or laboratory environment.

Duties will include, but are not limited to, collection and verification of eligibility, benefits and prior authorizations to ensure reimbursement for services rendered. This position routinely works with providers, payers, case managers, caseworkers and patients to resolve issues that arise during the prior authorizations process. Responsibilities

1. Provides administrative support to clinicians, supervisors and departments by coordinating calendars, scheduling meetings and appointments.

2. Types and proofs correspondence, memoranda, reports, proposals, technical papers, manuscripts and related materials.

3. Transcribes dictation relating to medical histories, physical examinations, discharges and other special notes involving a wide variety of medical terminology.

4. Schedules patients for laboratory tests, medical examinations and consultations.

5. Prepares and maintains accurate and orderly patient medical records.

6. Arranges or assists in arranging patient transportation.

7. Assists patients, patients’ families, referring physicians, and third party carriers to resolve patient related issues, including explaining various types of medical insurance plans.

8. Obtains pre-certifications as required by patients’ health care plan or managed care provider when needed.

9. Provides additional general office and clinical support such as answering phones and responding to calls, greeting and directing visitors/patients, filing, copying, making travel arrangements and opening and processing mail.

•Communicates with patients in a confidential professional manner using tact and diplomacy.

•Notifies patients and their families of co-pays, deductibles, and co-insurance as appropriate.

•Obtains or confirms pre-authorization for procedures and medications.

•Ensures accurate CPT codes and related records are submitted in the authorization request. Requires critical thinking to determine what each individual payer requires to authorize the visit.

•Verifies insurance eligibility, benefits, network status.

•Secures prior authorization for high dollar services such as scheduled day surgeries, urgent admissions and prescribed medications.

•Acts as a liaison between the payer, medical support staff and providers in the event additional medical records are required to authorize.

•Follows up on delayed or denied authorization requests and escalates for resolution. Facilitates provider and insurance medical directors reviews for medical determination if the visit should be authorized.

•Creates and maintains detailed documentation of the authorization/notification trail.

•Ability to work on other tasks while on long hold times with payer for authorization for another patient.

Minimum Qualifications

High school diploma or equivalency and four years secretarial experience or equivalency required; knowledge of medical terminology; strong word processing and spreadsheet software skills; demonstrated organizational, human relations, and effective communication skills also required.

Preferred: Two years of experience in a hospital, clinic or laboratory setting. Patient registration or related experience also preferred.

This position is not patient sensitive.
