Job Summary

The Production Coordinator independently coordinates the day-to-day aspects of events and communication work assignments. This person provides excellent support and customer service in assessing and responding to daily requests for drafting, editing, design, and production of a wide range of communications and publications. They implement procedures and practices in monitoring a high volume of projects and—through project management software—assigning them to team members then tracking progress and ensuring completion. In addition, the Production Coordinator will track incoming data results (e.g. campaign impressions, open rates, event RSVPs) from a variety of sources and package reports for the team and stakeholders.


•Provide administrative support to the Director of Communications and the Strategic Engagement Team.

•Monitor project management software daily.

•Communicate effectively and maintain positive, courteous, supportive, and professional working relationships—with an eye towards providing superior customer service for our clients.

•Open new requests, communicate with clients to ensure project details are defined, and assign a step-by-step schedule.

•Coordinate with team members to assign tasks and problem solve scheduling conflicts.

•Provide status reports at weekly project meetings.

•Collect data and create reports from project and event management software—including campaign performance and RSVPs.

•Consult with supervisor to solve problems and expedite important urgent deadlines.

•Work closely with the procurement department to ensure that the University’s policies and procedures are adhered to.

•Work with contractors and vendors to ensure that they are able to complete their projects on time.

•Contribute to the customer service-oriented atmosphere within the department.

Minimum Qualifications

Bachelor’s degree English, Journalism, Communications, or related field plus 3 years of related experience, or equivalency; excellent technical writing and verbal communication skills; familiarity with a variety of computer software; project management and strong interpersonal skills; ability to work both individually and in a team setting.

Master’s degree in a related field may be preferred.

Preferred: Experience with specific computer systems; skills in interviewing, ad copy writing, editing, photography, web writing, graphic design.
