Job Summary

The University of Utah Health Sciences campus (HSC) is seeking applications for a Facilities Coordinator for the Senior Vice-President – Health Sciences, Planning Office (SVPHS-PO). This position is part of theSVPHSPlanning team, which provides planning services regarding capital development, and the strategic deployment of space, to support campus requirements. This is a full-time, permanent staff position.

The incumbent supports the work efforts of theSVPHSPlanning Office and is responsible for supporting capital projects, space allocation planning, and relocations as directed by team members. This includes project related documentation such as issue tracking, schedule adherence, purchase and delivery of owner-purchased items, financial reporting, payment processing, and project communications.

The incumbent will also support space capacity/utilization studies to determine the best use and configuration of existing and future space models and assist in the identification of problems, trends or future space needs.

Purpose of the Position:

The Project Planner will assist with capital project development and implementation, relocation planning, and conduct special projects as assigned.

Responsibilities

•Provide support for space utilization planning. Work with theSVPHS-PO team to define space tracking/planning metrics; research information to support metrics tracking; compile data and provide basic utilization computations. Conduct space audits. Assist with studying potential to maximize utilization of facilities and forecasting of future needs and requirements.

•Assists in the development of space migration plans and sequencing of moves. Collaborate with internal departments and move coordinators to support project goals. Conducts analysis and review of affected work area(s) to ensure that current location(s) and space availability at destination location(s) is reflected accurately.

•May organize and schedule work activities for multiple concurrent projects.

•Interfaces with various university service providers such as Facilities, Information Technology and Purchasing as well as design and construction teams to accomplish project goals.

•May attend client/project meetings, draft meeting minutes and schedule adjustments. May conducts interviews and discussions with client(s) to gather, coordinate and synthesize project requirements.

•Supports post-occupancy reviews to ensure deliverables were executed and client’s expectations were met.

•May assist in special projects of varying complexity, as needed, and perform other duties as assigned.

Minimum Qualifications

Bachelor’s degree in a related field or equivalency required (2 years related work experience may be substituted for 1 year of education). Three years directly related experience to either space/occupancy planning, relocation planning, interior design/architecture and/or capital project management. Equivalent combination of education and experience may be considered.

Experience with Microsoft Office suite of tools including Excel, Word and PowerPoint.

Ability to read and understand architectural floor plans and conceptual schematic space plans and programs documents. Demonstrated knowledge of architectural design and construction delivery principles.

Must have strong interpersonal, customer service, and communication skills.

Previous experience with and Integrated Work Management System, such as Archibus.

Ability to consult effectively and provide excellent customer service to all levels of internal and external customers, developing relationships and building trust.

Good written and oral communicator, with the ability to effectively present information.

Able to work independently, exercise skilled judgement in resolving problems and researching requests. Ability to adapt to changing needs and requirements and perform other related duties as assigned.

This position involves sedentary to light work and may exert up to 10 pounds of force occasionally in an office setting. While visiting a construction site, the incumbent may be exposed to hazards such as noise, vibration, or atmospheric conditions. Some travel to local sites may be required.
