The Natural History Museum of Utah ( NHMU ) is hiring an Expense Accounting Coordinator to coordinate accounting for expenses for our organization. This individual will be responsible for:

• Overseeing the use of procurement cards for approximately 60 staff members

• Managing the entire life cycle for contract and payment documents within NHMU

• Making timely, accurate submissions of documents for payments to vendors

• Interfacing with multiple University of Utah departments to assure accuracy, compliance, and timely payments

• Assisting colleagues in the coordination of business travel

• Preparing general journal entries and other documents to make corrections when needed

• Serving as an information resource for colleagues who need assistance with University of Utah procurement policies and procedures

This position will be considered a hybrid telework position. An employee hired into this role will establish a mutually agreed schedule with some time worked physically at the Natural History Museum of Utah and some time worked remotely. An employee hired into this role will be responsible for providing space, telephone, networking and/or internet capabilities at the telecommute location and agree to the terms of the University of Utah campus and Health Academics COVID -19 Telecommuting Agreement.

Responsibilities

•Processes and submits for approval all payable documents for NHMU , using University-provided resources (ePR and Ushop). Provides timely follow up on any document that is returned for any reason.

•Reallocates all purchase card transactions and manages paper purchase card processes (receipts, statements, signatures). Personally follows up with staff members delinquent in their recordkeeping responsibilities.

•Manages the contracting process, including signature gathering, paperwork review, and submissions to Ushop. Interfaces with vendors to assure a smooth process, clear understanding, and appropriate expectations for doing business with the University.

•Acts as primary point of contact for Concur at NHMU , and assists staff in submitting travel expenses through the appropriate U of U channel.

•Coordinates quarterly meetings between the CFO and any staff member who is the PI of an active research grant to assure that all project expenses are being properly accounted for and that the project is progressing toward an on-time, on-budget completion.

•Processes general journal entries making basic corrections to accounting data when needed.

•Serves as initial resource for staff questions on U of U procurement best practice and policy.

Minimum Qualifications

Bachelor’s degree in Accounting, Finance or a related field, plus one year related experience or equivalency required. A thorough understanding of general ledger accounting practices, cost analysis and accounting principles, as well as demonstrated analytical, problem solving, human relations and effective communication skills also required.

Knowledge of PeopleSoft or Access databases may be preferred in some areas.

Preferences

The successful candidate will have a background managing documentation and interfacing with complex bureaucracies. They will need at least a basic understanding of accounting principles and procedures. They will possess a strong customer service ethic and a patient attitude toward coworkers who are learning to observe proper procedures. They will also have the ability to communicate sometimes complex rules and procedures to laypeople in clear spoken and written English.

This position may be ideal for someone with an associate’s degree and 5 years of experience, or no degree and extensive experience in a bureaucratic environment.
