Job Summary
We’re expanding our executive secretary team and looking for someone who wants to be part of a mission-motivated department. Please note that 1 year of college equals 2 years of job experience. Training will be provided.
Responsibilities
1. Provides administrative support to the administrative manager and senior executive secretary.
2. Accurately prepares documents including offer letter drafts for review by supervisor.
3. Schedules appointments and maintains supervisor’s and department’s calendar.
4. Makes arrangements for meetings and conferences.
5. Organizes and maintains confidential files related to faculty RPT .
6. Orders and maintains supplies for department.
7. Collaborates with exec. sec. team to efficiently oversee shared processes such as travel, document organization, events, catering orders, calendar maintenance, and student support.
8. Motivated to provide excellent service to all members of our Physics & Astronomy community.
9. Provides general office support such as greeting and directing visitors, handling incoming calls and processing mail.

Minimum Qualifications
High school diploma or equivalency required. Four years full time secretarial experience or equivalency, word processing and spreadsheet software skills and demonstrated human relation and effective communication skills also required.
Knowledge of business writing preferred.
Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.
Preferences
Preference given to candidates who demonstrate an ability to work across multiple platforms, such as Google Suite, Microsoft, and Adobe. Willing to work on campus, occasional remote shifts negotiable after 6 months.
