Job Summary

This employee will play an important role in facilitating the day-to-day operations of the didactic portion of the student curriculum by providing administrative support to the didactic team. This employee will coordinate and manage room scheduling, maintain professional communications with students and instructors as well as order supplies for all required student classes and labs. Important tasks related to this position are attention to detail, excellent organizational skills, accountability, and the ability to work independently and prioritize tasks.

This is a key staff role that is integral to the success of the didactic portion of the PA student experience as they manage the inventory of classroom educational materials, schedule rooms, as well as manage logistics for student international rotations.

The mission of the University of Utah Physician Assistant Program is to improve the quality of health and access to care, with a commitment to the medically underserved, by educating students to become highly proficient, socially conscious, and accountable physician assistants (PAs) in the primary care model.


1. Assists with day-to-day operations within the didactic year of the PA Program such as classroom activities, scheduling rooms and ordering materials, for the first year of study for PA students at the Salt Lake City campus.

2. Assist with providing student services such as advising, referral for services and maintaining student files as well as assist with student education verification and credentialing.

3. Assists faculty with creation, editing, and management of course syllabi, canvas documents, and other required student documents.

4. Administrative support for student progress meetings & ASCC meetings. Take meeting minutes, schedule student meetings, create follow up documents for students.

5. Assist with processing payment for instructors during the didactic year.

6. Administrative support for international rotations

7. Administrative support for student activities such as community engagement activities, return visits, and OSCE exams.

8. Process travel claims for faculty and staff using the SAP Concur System, and assist with the purchase and maintenance of teaching materials needed for the Salt Lake City campus

9. Manages the Tutorials course logistics including scheduling rooms at HSEB , ensuring all supplies are ordered, coordinating with instructors, and creating student schedules for clinical skills exams. Requires strong attention to detail and ability to manage several competing tasks.

10. Regularly uses and assists faculty and students in using Examsoft, Canvas, Google and Microsoft Office, Zoom, Microsoft Teams, etc. Duties also include assisting in training new faculty & Clinical Associates at the Salt Lake City campus on programs used during the didactic year.

11. Manage events, clinical skills set up for procedure days, manage labs, and other learning experiences at the Salt Lake City campus.

12. Arranges scheduling and payment of standardized patients as needed for teaching/testing experiences.

13. Manage student exam proctoring process.

14. Maintain confidentiality of student information per FERPA regulations.

15. Serve as staff support for international student rotations.

16. Assist with additional PA program activities, events, and duties as needed.

17. Attention to detail, good customer service skills, strong organizational skills, accountability, and the ability to work independently are important for success in this position.

Minimum Qualifications

Bachelor’s degree in a related area or equivalency (2 years related work experience may be substituted for 1 year of education), and two years related experience required. Demonstrated human relations and effective communication skills also required.

Previous experience supporting a University of Utah academic program. Previous experience providing student services is preferred.
