Job Summary

The Center for Science and Math Education ( CSME ) is hiring a Program Manager to manage Center operations and work with the CSME leadership team on critical programs. The Program Manager will manage, under minimal supervision, the planning, organizing, and implementing of all activities pertaining to administrative functions of the CSME (https://csme.utah.edu). The primary responsibilities for this position will be to manage the Learning Assistant program, including student affairs, recruitment, and program administration. Additional responsibilities will include but are not limited to: marketing and communications; budgeting and payroll; program promotion and/or implementation; office administration; and providing additional support for CSME programs. The position will be supervised by the Education Director at the Center for Science and Mathematics Education ( CSME ).

Responsibilities

  • Coordinates the Learning Assistant (LA) program by communicating with students and other program stakeholders, collaborating with departmental faculty and LA coordinators, managing all incoming support documents; trouble-shooting the application process as needed. Review student transcripts to determine program eligibility. Collect, organize, and maintain LA program records and data.
  • Provides administrative support, as needed, including scholarship forms, scheduling appointments, participating in faculty and departmental meetings, responding to phone calls, sending/answering emails and other correspondence, making arrangements for meeting space, catering, reservations, honorariums, advertisements, etc.
  • Managing schedules to satisfy LA program needs according to faculty requests, student availability, schedule compatibility, etc.
  • Markets and promotes programs via the CSME website, newsletter, social media, etc.
  • Acts as primary point of contact for public and student inquiries, or procedural matters relating to the LA program.
  • Create and update content for an online Canvas orientation course required for all students involved in the program. Manages enrollment and completion of orientation course.
  • Coordinate program-related payments, order supplies, build/distribute invoices to appropriate departments and forecast LA program budget.
  • Facilitate all hiring and job offers for new LA program members, terminate job record when employee leaves, corresponds with University of Utah Division of Human Resources.
  • Other duties as assigned.

Minimum Qualifications

Bachelor’s degree in a related area or equivalency (2 years related work experience may be substituted for 1 year of education). Four years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required.

Master’s degree in a related area may be preferred.
