Job Summary

This is a Project Management Support Position in the Planning, Design and Construction Department. The selected candidate will assist project managers in coordinating project activities and providing administrative support for all aspects of project delivery.

The Associate PM 1 may also manage small-sized design and construction projects or portions or larger projects with guidance and oversight of a project manager(s).

Responsibilities

•Support Project Managers & Department Leadership with the design and delivery of construction projects.

•Under Project Managers’ direction, maintain or oversee the maintenance of project records, lists or files. Prepare project reports.

•Under Project Managers direction, perform administrative tasks, reporting, analysis, contract modifications, project tracking, purchase order requisition issuance.

•Under Project Manager’s direction, may assist in development of presentations on projects.

•*Enter project specific information, drawings, cost and schedule information into the project files and management system (Unifier).

•Support and facilitate design review process with the management system (Unifier).

•Schedule project meetings for Project Managers and Department Leadership.

•Assist with the creation, organization, and distribution of meeting minutes and/or action items for project meetings and perform follow up.

•Take project progress photographs and make project site visits.

•Initiate and route final closeout process.

•Assist operations and maintenance staff in addressing warranty items.

•Under direction of a Project Manager may:

oAssist in the procurement of vendors, consultants and contractors.

oAssist in managing and coordinating the activities of design professionals and construction contractors and other vendors in the performance of contracted responsibilities.

oAssist in managing project teams, client and stakeholder communication.

oAct as a liaison between customers, departments, agencies, other organizations, professional service providers, and contractors.

oMonitor, manage and report on project budgets and schedules to assure completion of critical tasks needed to meet client-timing and budget objectives.

oSupport the resolution of schedule, budget and/or quality issues or problems.

oMonitor project scope and construction quality.

oReview and approve construction contract progress payments and vendor invoices.

oAssist the contract change control process to incorporate amendments to scope, cost or schedule in adherence with contract requirements.

oAssist with review and approval of change proposals.

oManage and monitor project substantial completion and punch list completion.

oParticipate in final inspections and confirmation that deficiencies are addressed.

oAssist in coordinating final acceptance by user and/or institution.

oAssist in orientation, training, occupancy and start-up of facilities.

•Actively participates in and contributes to departmental and cross departmental process improvement, team building and mentoring efforts.

•Other duties as assigned.

Minimum Qualifications

Bachelor’s Degree in Architecture or a related area, or equivalency (2 years related work experience may be substituted for 1 year of education). Demonstrated strong written, oral, and interpersonal communication skills required. Current Utah licensure as an Architect preferred.
