Job Summary

The Clinical and Translational Sciences Institute ( CTSI ) is seeking a highly motivated individual to join our team as part of the Clinical Research Support Office ( CRSO ). This position will provide strategic support and leadership in planning, developing, and implementing new processes to advance the mission and goals of the CTSI . Acts as a point of contact between the departments, PIs and study staff to ensure continuity and quality of service. Knowledge of clinical research operations and billing compliance, finances and the associated infrastructures required. Requires a detail-oriented individual with the ability to handle a high volume of multiple tasks and follow through to completion. Must be able to learn quickly and work independently to address a variety of complex issues.

This position will support the financial aspects of the OnCore system with knowledge of the University system that complete these tasks.

Strong problem-solving skills, analytical ability and organizational skills in order to assess information and issues and to provide recommendations based on operational performance required.


· Serves as key point of contact for finance functionality within the OnCore Clinical Trial Management System ( CTMS ).

· Oversees Advarra’s Participant Payments roll out and use.

· Monitors the appropriateness and effectiveness of clinical research billing compliance within divisions and outlines suggestions for centralized billing compliance resources.

· Manages a team in creation of electronic calendars with budget details in accordance with terms of the protocol for clinical trial data capture in the OnCore Clinical Trials Management System ( CTMS ).

· Provides ongoing support of the electronic calendar and budget build functions in OnCore.

· Understands evolving institutional changes as they relate to policy, pricing, budgeting, etc. for clinical trial data captured in OnCore

· Assists with facilitating consistent budget development and negotiation across the institution.

· Leads chargemaster group for research pricing.

· As needed, provides training and education to investigators, research staff and practice site staff on research billing policies, procedures and tools.

· Demonstrates team leadership skills. Ability to make positive contributions and work effectively and efficiently in a group environment.

· Demonstrates strong written and oral presentation skills. Ability to communicate effectively with all levels of staff, faculty, management and collaborators.

Minimum Qualifications

Bachelor’s degree in Business or Public Administration, a related area, or equivalency required; plus six years of progressively more responsible management experience; and demonstrated leadership, human relations and effective communication skills also required. Master’s degree in Business Administration or related area preferred. This position is not responsible for providing patient care. Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.


Preferences will be given to those individuals with the following experience and abilities:

· Bachelor’s degree in business, finance or related field with at least 6 years of relevant experience and 4 years of progressively more responsible management experience

· Knowledge of billing compliance, pre-award activities, budget preparation and clinical trial negotiation and related research billing compliance operations

· Ability to work collaboratively and proactively with clinical departments to ensure there is appropriate structure and support for compliance billing practice

· Ability to define, create and implement a process for streamlining the financial management process across the institution

· Extensive experience to provide guidance to clinical departments and serve as the key resource with regard to the OnCore financial management and Coverage Analysis

· Understanding vendor payables and receivables for invoicing allowing the institution to streamline processes for recovering costs that are owed for services related to research is crucial

· Knowledge of specialized research billing workflows, participant payment systems, and University compliance with IRS regulations

· Extensive experience working with clinical trials finance, Medicare compliance and knowledge of research participant payments and chargemaster creation and maintenance

· Knowledge of OnCore CTMS or other financial data systems in support of clinical research
