Job Summary

Provides complex administrative support for the Pediatric Education Enterprise of the Department of Pediatrics, University of Utah School of Medicine in their mission to train pediatricians for successful careers in general pediatrics and pediatric subspecialties.

Responsibilities

Essential Functions

1.Provides administrative support to Program Director and Enterprise manager. Works with Program director(s) and Program Coordinators to advise house staff (subspecialty residents), students, and others regarding program policies, goals, and related technical issues.

2.Provides day-to-day administrative support to the Enterprise manager for multiple Pediatric Subspecialty Fellowship Programs; work with Fellowship/Medical student coordinator to assess and prioritize administrative needs to ensure the appropriate and efficient allocation of resources for the fellow ACGME / GME program operations; under the supervision of the Education Manager, analyzes workflow processes in fellow trainee education as well as identify, develop and implement program improvements and efficiencies.

3.Provides day-to-day administrative support to the Enterprise manager for the core Pediatric Residency Program; works with Program Director and Enterprise manager to assess and prioritize administrative needs to ensure the efficiency of all programs.

4.Plans Education in Pediatrics Across the Continuum ( EPAC ) lecture series and

manages all student evaluations.

5.Answers main education phone number, manages calls, and relays messages, when needed.

6.Participates in monthly staff meetings and career development training.

Problem Solving

This position is responsible for solving office problems such as payroll or accounts payable issues, solving staff, faculty and student problems or directing them to someone whom can and supervisory and personnel issues. Plans and expedites the flow of work while ensuring the smooth operation of the office under the pressure of frequent interruptions and changes in priorities.

Comments

Administrative Assistants in hospital and clinic departments must report to a Service Director or the equivalent. In addition to the essential functions listed for this position, incumbents in this position may be assigned to complete the duties and demonstrate the competencies needed for the Executive Secretary position.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

This position is patient-sensitive and must fulfill all associated requirements.
