Job Summary

The School of Medicine Dean’s Office Finance Unit serves as a centralized financial resource for 23 academic departments and provides financial operational support for 23 Dean’s Office units. This Financial Administrative Assistant position offers a broad scope of routine responsibilities as well as ad hoc projects working with our Finance team. The variety of tasks allows multiple opportunities to expand your professional skills in a dynamic and diverse work environment and would be an ideal position for an individual currently pursuing a degree in accounting, finance, or business.

Responsibilities

  1. Reconciles accounts and ensures transactions are posted correctly. Reviews transactions for accuracy and required back-up documentation.
  2. Supports School of Medicine financial processes.
  3. Prepares journal entries and completes financial forms as needed.
  4. Assists with preparation of various accounting and financial reports.
  5. Functions as department payroll reporter and provides Human Resources support, which includes handling Kronos timecard approvals, ePAF and I-9 processing.
  6. Assists in preparation and review of annual budgets.
  7. Identifies and problem solves accounting irregularities.
  8. Collaborates on additional projects as assigned.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
