Job Summary

Provides administrative support to the Department of Radiology & Imaging Sciences.

Will maintain office functions, section, and project support. Including but not limited to travel arrangements, reimbursements, and document preparation.

This position is required to be physically on site as needed.

Responsibilities

Responsibilities include, but not limited to:

  • Acts as first point of contact for section chief, faculty, and fellows
  • Delivers expert calendar management, preparing agendas, taking detailed minutes, operating video-conferencing platforms (e.g., Zoom, Teams) and other duties.
  • Handle incoming and outgoing telephone calls, mail, and email
  • Ability to coordinate meetings with multiple stakeholders internal/external to department and university. (Includes preparing space, making food arrangements, arranging set-up and break-down, A/V support or preparing support ahead of time, ensuring all necessary equipment and supplies are available)
  • Provide support to section chief and fellowship program director by making conference schedule, assigning lectures, noon conference, tumor board, and journal club
  • Fellowship support for section (recruitment, conference arrangements, faculty mentorships, scheduling, tracking attendance, verifications, graduation party, etc)
  • Maintain and update CV’s in MBM . Track section achievements and CME credits
  • Acquire knowledge with Qgenda scheduling software. Work with section chief to plan, implement, and adapt clinical schedules based on faculty needs and FTE . This includes proactively checking for errors and ensuring full clinical coverage
  • Ability to generate reports from QGenda, including summaries of clinical/academic days, weekend call days, conferences, vacation, meetings, etc. for each section member
  • Provide organizational support by taking small projects for the section and department committees
  • Performs other related duties as assigned

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education)

Must be self-motivated and results-oriented; pay attention to details; able to prioritize and manage multiple projects; able to anticipate issues and problem-solve; requires flexibility and ability to work independently and effectively under pressure; thrive in a collaborative, generative environment while being able to take direction. Excellent oral and written communication skills, polite, and professional.

Preferences

Two years full-time administrative experience and demonstrates human relation and strong communication skills. Knowledge of medical terminology.

  • Demonstrated potential ability to perform the essential functions as outlined above.
  • Demonstrated ability to use logic and reasoning to prioritize tasks.
  • Demonstrated computer skills including Microsoft applications, spreadsheet software, and database software.
  • Knowledge of department’s policies and procedures.
