The Administrative Assistant at the Red Butte Garden works directly with the staff and leadership and is essential to the success of the organization. Members of our team perform a diverse set of tasks and provides engaged administrative support for department management.
The Administrative Assistant’s essential functions will include yet, are not limited to scheduling, meeting support, payroll assistance, procurement, travel, management of department accounts, purchasing, event planning, on/off boarding of staff, and other administrative duties as assigned.
This position is considered Category IIA : Not required on campus daily and has the ability to telework remotely for the duration of the University of Utah’s response to COVID -19. An employee hired into this role will be responsible for providing space, telephone, printing, networking and/or internet capabilities at the telecommute location and agree to the terms of the University of Utah campus and Health Academics COVID -19 Telecommuting Agreement. Employee hired into this position will be required to work occasionally at the office to support on-site operations.
This position plans and expedites the flow of work while ensuring the smooth operation of the department under the pressure of frequent interruptions and changes in priorities. Requires independent judgement, daily problem solving and multi-tasking.
1.Assists department with business planning, hiring and goal setting.
2.Collects, organizes and analyzes data for specialized and regular monthly/quarterly reports.
3. Assists with the implementation of department and University policies and procedures.
4.Provides administrative support to upper-level department management by scheduling appointments, coordinating meetings and conferences and maintaining and ordering office supplies.
5.Travel planning and reimbursement for various members of the department
6.Resolves a variety of complex administrative problems for staff and the public.
7. Prepares correspondence, establishes and maintains confidential files.
8.Acts as a liaison between the advisory board and the Executive Director in the coordination of correspondence, meeting minutes, relations management, and knowledge of bylaws.
9.May supervise the activities of support staff

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
