Job Summary

The University of Utah College of Nursing, Practice and Community Collaboration ( PACC ) is seeking an experienced Administrative Assistant that will provide direct administrative support to the PACC leadership team. You will have the opportunity to work in a dynamic, forward looking department, helping spearhead initiatives to promote the health and well-being of patients from every corner of the state. Responsibilities

  • Provide administrative support to upper level college management by scheduling appointments, coordinating meetings and conferences and maintaining and ordering office supplies.
  • Coordinate on-site conferences and special events, including assisting faculty with student events/projects
  • Coordinate meetings, including arranging meals, taking minutes and archiving documents for Practice and Community Collaboration ( PACC ) and other committees.
  • Collect, organize and analyze data for specialized reports.
  • Write and edit manuscripts, publications, letters and other documents.
  • Resolve a wide variety of administrative problems for faculty, staff
  • Assist with the implementation of University, College and department policies
  • Develop and maintain parts of college website, Healthcare websites and Pulse sites
  • Provide administrative assistance for University faculty, including but not limited to MBM , CV system, FAR and faculty profile webpages.
  • Responsible for PACC marketing materials, in print, online and promotional items
  • Contract Invoicing: pull and compile data, prepare and send invoices, track and deposit payments, and review and archive contracts. E-journal, departmental deposits and management reports.
  • Arrange travel, process travel requests and reimbursement and payment requests. Concur.
  • Payroll and Kronos. Edit, enter exceptions and approve timesheets.
  • Track required documents for clinical staff ( BLS , DEA , license, N-95 fit testing, etc.)
  • Track employee milestones for recognition (work anniversaries, birthdays, etc.).
  • Other duties as assigned

Minimum Qualifications

Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

This position is patient-sensitive and must fulfill all associated requirements.
