Job Summary

Provides complex administrative support for the Pediatric Education Enterprise of the Department of Pediatrics, in their mission to train pediatricians for successful careers in general pediatrics and pediatric subspecialties.

Responsibilities

Essential Functions

  1. Provides administrative support for Program Director, Assistant Program Directors, and Enterprise Manager. Works closely with administrative support team to advise housestaff, students, and faculty regarding program policies, goals, and related technical issues.
  2. Administers day-to-day administrative support activities for Graduate Medical Education ( GME ) to assess and prioritize administrative needs, and ensure appropriate and efficient allocation of resources for the ACGME / GME program operations.
  3. Under direction of the Education Manager, analyzes workflow processes in trainee education and identifies, develops, and implements program improvements and efficiencies; stays apprised of and assist in the implementation of policies and protocols, including ACGME accreditation requirements.
  4. Manages the trainee management program (Med-Hub) for evaluations and work hour tracking for residents. Participates in the Clinical Competency Committee including preparing house staff evaluations and performance summaries.
  5. Assists in didactic planning: schedules rooms, delivers calendar invites, coordinates catering, and other logistics for the lecture series.
  6. Provides backup support to the residency, fellowship(s) program, and medical student clerkship coordinators as needed.
  7. Answers main education phone number, manages calls, and relays messages.
  8. Greets and directs visitors in the office.
  9. Participates in monthly staff meetings and career development trainings.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

This position is patient-sensitive and must fulfill all associated requirements.
