Job Summary

Opportunity to work in a fast pace, high energy, high expectation office of approximately 200 employees. Working in a team environment with cross-coverage over a wide range of duties with opportunities to create and innovate. Uses a variety of applications/programs to provide complex administrative support for department management. Collaborates with co-workers, high-level executives, and doctors to aid in problem resolution in a friendly manner. Looking for those who are calm, seek resolutions, and have a customer service oriented mindset.


1.Provides administrative support to upper level department management by scheduling appointments and conference rooms and prepare any needed documents.

2.Make travel arrangements and process reimbursements for executives.

3.Manage and take various meeting notes for executives to aid them in their meeting management.

4.Manage front desk – Greet and direct visitors, assist staff and visitors with various needs. Answer phones.

5.Scheduling and implementation of various office social activities.

6.Identify process improvements and participate in implementation.

7.Assists department with interview application management. Distributes applications, facilitate and grade applicant tests, record applicant information in University HR system and UMB’s database.

8.Maintaining inventory and ordering office supplies.

9.Using excellent internet browsing and negotiation skills, work with various insurance companies, supervisors and managers to give staff access to various websites.

10.Utilize internal database to perform a monthly audit of user access to insurance websites.

11.Other duties as assigned.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

Intermediate computer skills in Excel, PowerPoint, & Outlook required

Ability to be creative, innovative, adaptable and work independently.

Ability to learn new programs quickly and manage multiple applications at once.
