Job Summary

The Department of Mechanical Engineering is seeking a full-time Administrative Assistant to join our team. The Administrative Assistant will provide complex administrative and accounting support at the front desk in the Department of Mechanical Engineering.

Responsibilities

Job Functions

  1. Greets visitors and communicates with students, employees, and other individuals to answer questions, disseminate or explain information.
  2. Prepares and processes travel reimbursement documents.
  3. Makes travel arrangements for department guests.
  4. Provides administrative support for Distinguished Seminar series.
  5. Purchases department catering and organizes or participates in department events.
  6. Serves as back up purchasing agent for the department.
  7. Maintains budget records, such as reconciling accounts, reconciling Purchasing Card, and preparing expenditure statements.
  8. Collects, organizes and analyzes data for course evaluations.
  9. Assists with faculty search processes including applications, tracking, and travel.
  10. Assists with the implementation of department and University policies and procedures.
  11. Provides administrative support to upper level department management by scheduling appointments, coordinating meetings and maintaining and ordering office supplies.
  12. May schedule, plan and coordinate work actions of support staff.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

Previous work experience in a University environment, attention to detail, and ability to simultaneously manage multiple priorities is preferred.
