Job Summary

The Utah Education and Telehealth Network is seeking an organized and service-oriented person to support executive staff and the education department. Our ideal candidate can keep things running smoothly for a hard-working team that is working on-site and remotely.

1. Assists executive staff and department with business functions such as coordinating calendars, planning, note-taking, maintaining and ordering supplies, travel arrangements and reimbursements, accounting, scheduling, tracking inventory, mailings, and reports.

2. Coordinates events and meetings including venue reservations, catering, and on-site support.

3. Responsible for public television viewer services, responding to calls and messages with efficiency and tact.

4. Assists with department budgets and budget tracking, processes invoices and payments while working closely with accounting and purchasing staff.

5. Manages contracts and payments for independent contractors, media acquisitions and equipment.

6. Monitors use of two department vehicles and assists with regular maintenance appointments. Must have valid Utah driver’s license and may drive state vehicle for maintenance, deliveries, and events.

7. Collects, organizes, and analyzes data for special reports. May assist with website maintenance, link checking and data entry.

8. Assists the department with University policies and procedures including travel reimbursements.

9. Coordinates organization-wide online training and maintains training records.

10. Prepares material for mailings, shipping and delivery to schools.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

Department Specific Qualifications

  • Experience with business software, MS Office suite, Google tools, cloud storage and cloud file maintenance, online scheduling apps is required.
  • Experience with applications to facilitate a hybrid on-site and teleworking department such as e-signature software, videoconferencing, and similar office applications is preferred.
