Job Summary

Job Summary

This position provides administrative and logistical support within the Department of Pediatrics at the University of Utah School of Medicine, and supports two areas within the Department. This position will primarily provide support for the education programs within the Research Education Office. Secondarily, this position will support ad hoc administrative assistance for the Division of Pediatric Emergency Medicine (DoPEM) in its four-fold mission as clinical, academic, administrative and teaching faculty physicians. This dual-role will maintain compliance to a host of federal, university, department, and division rules and regulations and work in consideration of our mission: “Improving the lives of children through excellence in advocacy, education, research, and clinical care.”

Work Location

This position is based at the William’s Building in Research Park. After the training period is complete, opportunities for a hybrid telework schedule may be available if supported by operational needs.


Essential Functions

Administrative Support:

  • Provides administrative assistance to Division Chief, faculty physicians, operations manager and program coordinators in the division by coordinating office procedures and processes to facilitate an effective and efficient office environment, while maintaining compliance to a host of federal, university, department, and division rules and regulations.
  • Provides administrative support for correspondence by writing, reviewing, proofreading, updating, printing, and tracking correspondence.
  • Answers phones and relays messages; greets and directs visitors in the office.
  • Provides administrative support to Research Education Office’s education program coordinators with travel coordination, purchasing, materials printing, and virtual or-person hosting needs for summer programs (including organization of catering for in-person program meetings).
  • Assists with design of research posters, brochures, and other printed material.
  • Provides administrative support for special projects as directed by Division Chief and/or managers.
  • Participates in coordination and maintenance of a clean and efficient office environment by helping organize the division’s office suite, storage space, phones, and office equipment.
  • Provides IT support for office staff and faculty by helping with troubleshooting error and connectivity problems, computer and printer set-up, and coordinating with Peds IT as needed.

Calendar and Schedule Coordination:

  • Provides calendar coordination for Research Education Office group meetings and special events.
  • As applicable, participate in virtual organization for summer program orientations and classes.

The staff member must be able to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served on his or her assigned unit. The individual must demonstrate knowledge of the principles of life span growth and development and the ability to assess data regarding the patient’s status and provide care as described in the department’s policies and procedures manual.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

This position is patient-sensitive and must fulfill all associated requirements.   • Working knowledge of medical terminology.
  • Strong computer skills with a working knowledge of word processing, database management, and spreadsheet (Excel) programs.
  • Experience using a Macintosh computer.
