Job Summary

The Pediatric Critical Care Division at the University of Utah has an immediate job opening for an Administrative Assistant. This position provides secretarial and administrative office support to a clinical research network(s).

Responsibilities

1.Provides administrative support to the Program Director, Project Managers and ancillary study team members and assists with business planning and goal setting.

2.Periodically plans and coordinates work actions of other administrative support staff.

3.Maintains manager’s calendar and schedules appointments.

4.Coordinates meetings and conferences and manages meeting setup.

5.Takes minutes at meetings.

6.Makes travel arrangements, prepares and tracks travel reimbursements.

7.Prepares correspondence, including composing routine letters and memos.

8.Establishes and maintains confidential files.

9.Orders and maintains supplies and assembles binders.

10.Collects, organizes and analyzes data for specific research studies.

11.Reviews, edits, distributes study documents, monitors completion of regulatory documents from clinical centers and assists project managers with special projects as assigned.

12.Produces reports for specific data projects as requested.

13.Prepares a semi-annual newsletter and a simple member roster for national meetings.

14.Strategizes and assists with solving problems within the data coordinating center to ensure smooth operations of teams and communications with outside sites.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

Preferences

•Strong computer skills and proficiency in latest versions of Microsoft Word, Microsoft Excel and Microsoft PowerPoint.

•Excellent word processing and spreadsheet software skills required and the ability to quickly learn new technology.

•Experience with other software programs (Visio and Publisher).

•Experience or technical ability and a preference for learning new technologies, programs and software will be valuable.

•Effective communication skills and the ability to interact professionally with physicians and other healthcare providers.

•Knowledge of business etiquette and writing.

•Direct supervisory experience.

•Data entry experience.
