Job Summary

This temporary, non-benefited, part-time (19 hours/week) position provides complex administrative support to senior department management. Coordinates procedural matters related to ongoing assignments. Currently, this position will be primarily working from home, and could transition to working on campus.

This position is considered Category IIA : Not required on campus and has the ability to telework remotely for the duration of the University of Utah’s response to COVID -19. An employee hired into this role will be responsible for providing space, telephone, printing, networking and/or internet capabilities at the telecommute location and agree to the terms of the University of Utah campus and Health Academics COVID -19 Telecommuting Agreement.

Responsibilities

1). Assists with schedules, plans and coordinates work actions for Faculty & department management.

2). May collect, organizes, coordinates and analyzes data/input for reports/meetings.

3). Assists with the implementation of department and University policies and procedures.\

4). May coordinate seminars, workshops, luncheons and other meetings on topics that are within the scope of a project.

5). Coordinates, collects and implements department Social Media accounts & website updates.

6). Provides administrative support to department management, college financial teams, faculty and students.

7). This position is responsible for solving office problems such as payroll or accounts payable issues, solving staff, faculty and student problems or directing them to someone whom can and supervisory and personnel issues. Plans and expedites the flow of work while ensuring the smooth operation of the office under the pressure of frequent interruptions and changes in priorities.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

Preferences

Qualifications – Associate degree in business or equivalency required (1 year of college education is equivalent to 2 years of related work experience). Two years secretarial experience and/or customer service with effective communication skills also required.

Preferences – Preferences will be given to a candidate with University of Utah administrative experience with PeopleSoft Management Reports and Human Resources database.
