Job Summary

Performs a variety of accounting duties that range in level of complexity from clerical accounting duties such as preparing deposits, managing accounts receivable and acting as payroll reporter, to more complex duties such as preparing budgets and reconciling accounts.


Performs a variety of bookkeeping activities, including, but not limited to the following:

1.MaintainsKUED&KUERSales and Service Accounts Receivable; prepares invoices; resolves problem invoices; follows-up on past due invoices; logs payments.

2.Prepares departmental bank and donation deposits.

3.Serves as Payroll reporter. Reviews each employee’sKRONOSfor accuracy, and prepares report for Sign-Off.

4.Downloads, reviews and reconcilesKUEDpayroll report. Ensures labor costs are charged to the correct accounts.

5.PreparesKUEDProduction and Digital/Interactive Media Personnel Report; emails Production employees for missing worksheets; compares withKRONOS.

6.Prepares payroll reports as needed.

7.Prepares/distributes Overtime and Holiday Pay report.

8.Prepares Video/DVDSales Report for internal use and related reports forPBS.

9.Reallocates and reconciles purchasing cards forKUER.

10.PreparesKUED&KUERSales Tax reports.

11.PreparesKUED&KUERAccounts Receivable aging reports.

12.Maintains, reconcilesKUEDandKUERaccounts and makes correcting journal entries as necessary.

13.Reviews expense and accounting documents for accuracy and appropriate approvals; analyzes to ensure transactions are charged to the appropriate accounts.

14.Responsible for Admin, Community Relations and Marketing sections of theKUEDmonthly budget report

15.Reviews Ready to Learn and Community Outreach budgets with the managers of these two areas in the Community Relations department.

16.Downloads telephone bills forKUEDandKUER; reconciles/reviews charges; emails employees long-distance charges.

17.Prepares Community Relations and Marketing sections of preliminaryKUEDproduction budgets.

18.CompletesKUED/KUERCPBStation Activities Benchmarking Survey personnel workbook.

19.Assists with new fiscal year budget planning.

20.Assists with preparation of the annual audit including collectingKUEDDonated Goods paperwork and tear sheets.

21.Maintains filing system; archives documents per record retention guidelines.

22.Cross-trains/performs back-up duties with otherKUER,KUED, and Utah Education TeleHealth Network positions as required.

The Accounting Specialist follows University policies and procedures and follows applicable state andIRSguidelines. The incumbent refers issues outside of policy or not covered by policy to the supervisor.

The Accounting Specialist has the authority to determine correct account numbers, and ensure correct accounting procedures are followed. The incumbent answers questions from staff and vendors on invoice status, payroll problems, etc., and must be able to meet deadlines and establish priorities.

Challenges encountered by employees in this position include communicating effectively with various University departments atKUED-TV,KUER-FM and Utah Education TeleHealth Network. Reports prepared must be in accordance with generally accepted accounting principles and federal, state and University policies and procedures.

AUTHORITY/ACCOUNTABILITYThis position has the authority to analyze, document and report the financial stability or instability of accounts using generally accepted accounting principles. This position works under general supervision to complete assigned work. Day-to-day work is performed independently by following established procedures and regulations. Assignments are received with general instructions on desired results but without specific instructions on methods.REPORTINGRELATIONSHIPS

TheKUEDAccounting Specialist reports to theKUEDSenior Accountant.

Minimum Qualifications

Associate’s degree in Accounting, Finance or a related field, plus two years full-time clerical accounting experience or equivalency required. The ability to understand, interpret, and apply University and departmental regulations; demonstrated spreadsheet skills; and demonstrated human relations and effective communication skills required. Experience using software programs such as Microsoft Office, PeopleSoft or Kronos may be required for certain positions.

An understanding of basic accounting principles, mathematical aptitude and at least intermediate level Excel skills. Accuracy, thorough attention to detail and ability to work under pressure with minimal level of supervision is important. Ability to prioritize effectively, multitask and genuine desire for the department to succeed is essential.
