The Sustainability Office Assistant provides general clerical support for the Sustainability Office and assists with the day-to-day operations. Responsibilities include greeting visitors, answering the phone, scheduling meetings, room reservation, social media, and assisting with event planning, and other activities as needed.
In addition, this position may be asked to table at various campus events representing the Sustainability Office and answer questions about various programs managed by the office.
Applicants must have good communications skills (verbal and written), be motivated, and have the ability to work independently. Provides general office support.
Each year, the Sustainability Office seeks multiple student interns to help promote sustainability and manage programs at the University of Utah. We define sustainability as the integrated pursuit of social equity, environmental integrity, and economic security for current and future generations.
The Sustainability Office’s mission is to integrate sustainability as a core principle throughout all operations, research, disciplines, and curriculum at the University of Utah and to support sustainability initiatives and actions within the campus and community. We engage the campus community through programs that fund innovation, expand knowledge and understanding, and ignite change for a healthy and equitable society.
The Office Assistant will also work with other interns who assist the Sustainability Office in its mission through project development and implementation, social media, video, photography, marketing, blog writing, event planning, and campus-centric research and focus groups. Most importantly, the interns help the Sustainability Office make programs fun and exciting for the whole campus.
All internships are contingent upon funding availability.
All student positions within the Sustainability Office are work-study eligible.
The Sustainability Office Assistant will:
•Receive, greet and direct visitors to appropriate person or office.
•Answers telephones, providing assistance and direction to the correct person, office, or department.
•Processes and distributes mail.
•Maintain the reception area, general workroom and conference room area.
•Schedule appointments, rooms, and meetings as requested.
•Answers questions about the Sustainability Office and associated activities.
•Perform clerical duties for office staff such as maintain office calendars, drafting correspondence, copying, scanning, fax, data entry, filing and mass mailings.
•Under the direction of communication staff, perform tasks related to social media.
•Maintains office equipment; arranges for service calls as needed.
•Order or pick up and distribute office supplies.
•Table at campus events representing the Sustainability Office and answering questions about programs.
•Assist with catering and events.
•Other tasks as assigned.

High school diploma or equivalency required. One year full-time customer service experience or equivalency, demonstrated human relation and effective communication skills also required.

Minimum qualifications: Must be a University of Utah student. Position is open to all majors. Ideal candidate will demonstrate strong written and verbal communication skills, as well as organizational and research abilities. Experiences as a receptionist, with event planning, or customer service a plus.
Preferences: Proficient with MS Word, Excel, Outlook, and PowerPoint. Candidate must have good communications skills, be dependable, and have the ability to work with frequent interruptions. Experience with Adobe Creative Suite and ability to create forms a plus but not required for consideration.
