Job Summary

The J. Willard Marriott Library is looking for energetic applicants for an Events Coordinating Assistant. Potential candidates would be those interested in working with a team on needs for events in the library to ensure their success for all involved. We are looking for hardworking individuals who take initiative to accomplish tasks with a great attitude to apply.

Responsibilities

Events

o set up/take down of tables and chairs in the Gould Auditorium for events

o set up/take down tables in entrances when needed

o assist in coordinating with AV, custodial, and facilities departments to maintain needs in event spaces

o assist in the set up/take down for events in other locations throughout the library when needed

o assist with displaying event signage

o must be willing to work on limited food preparation including making popcorn, cotton candy, and arranged catered food

o must be willing to obtain a food handler’s permit at the library’s expense

o regular cleaning and maintenance of furniture/equipment i.e. tables, chairs, dishes, etc

Scheduling

o respond to requests, make reservations in the scheduler, send confirmations

o understand and know policies, and enforce while responding to scheduling requests

o post signage for changes made if needed

o send emails to faculty, staff, and students to ensure they understand their reservations and policy

o confirm reservations made in the library match campus scheduling registrar’s office reservations and records

o ensure reservations are being used by physically checking rooms

o ensure that study room reservations are made in line with policies in place

Other tasks as needed

Minimum Qualifications

Six months clerical or customer service experience required; demonstrated human relations and effective communication skills are also required.

Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.

• Must be able to lift 50lbs and set up conference furniture including tables, chairs and other equipment.

• Some flexibility in schedule to be able to cover an occasional evening/weekend shift when needed for event.

Special Instructions Summary

Must be a current University of Utah student enrolled in 6 undergraduate credit hours or 5 graduate credit hours during the fall and spring semesters.

For the Library to be able to appropriately monitor hours worked, part-time employees are generally asked to restrict their work with the University of Utah to Library employment only, unless an exception exists.
