Job Summary

This position is responsible for coordinating the patient care services of the Oral and Maxillofacial program at University of Utah Health and the School of Dentistry. The individual may perform other related duties pertaining to staffing, surgery, equipment purchasing, and expenditure.

Responsibilities

1.Schedules diagnostic tests, procedures and surgeries and may provide patient with necessary preparation instructions. Prepares, processes, and manages patient documentation to department database.

2.Acts as a liaison between the provider, patient, and billing department, to enhance account receivables, resolve outstanding issues and/or patient concerns.

3.Obtains insurance pre-authorization and other related appropriate documentation. Enters or checks patient registration demographics and makes corrections as needed. Documents insurance coverage and authorization information.

4.Maintains the providers’ clinical and operative schedule by revising and updating as necessary depending on circumstances.

5.Coordinates services with other departments.

6.Enters patient charges in computer, posts payments, and/or does billing for clinic.

7.Collects co-pays and deposits, and maintains cash box and log of payments.

8.Meets with patient and/or family to explain insurance coverage, treatment costs, billing policies, and prompt pay.

9.Responds to incoming calls regarding account status from patients and insurance companies.

10.Follows up on unpaid accounts and insurance company rejections or denials. Follow up may include checking claim status with insurance company, correction of bad addresses, etc.

11.Responds to staff or patient questions regarding insurance procedures and policies.

12.Carries out special projects as assigned by supervisor.

Problem Solving:

This position has the authority to coordinate, revise and maintain the department/program schedules and is given authority to perform their daily work routines within the scope of the unit’s standards of performance.

Comments:

The staff member must be able to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served. The individual must demonstrate knowledge of the principles of life span growth and development and the ability to assess data regarding the patient’s status and provide care as described in the department’s policies and procedures manual. The staff member must have the ability to develop positive relationships with providers, patients, guests, and co-workers. The staff member must have a knowledge ofHIPPAregulations to insure patient information is guarded and respected.

Minimum Qualifications

Three years of experience working in an office or clinic, with an emphasis in scheduling, or a related area, or equivalency; and demonstrated effective communication, human relations, and computer skills required. Some areas of assignment require completion of a medical terminology course, certification related to specific area, and/or additional years of related experience.

Preferences

Competency in Epic Charting and scheduling.

Some departments may prefer experience in a high volume clinical setting or multidisciplinary clinics or working with high-acuity, complex patients.
