Provide complex administrative support within the Professional Education program in Continuing Education & Community Engagement (CECE). Manage the day to day processes involving student outreach, enrollments, document control, data gathering, program/class analysis, coordinating classes, and providing exemplary customer service. 1. Assist the Director to promote sustainable growth within the department by assisting with the development of standardized policies/procedures
2. Cross train in other department roles and support the team as necessary
3. Manage inside sales and associated outreach efforts and processes
a. Develop an in-depth understanding of our programs
b. Assist our outreach and marketing efforts by recommending and participating in tabling events and social media, web, email,
and print marketing pushes; review marketing materials for accuracy and to determine if they meet student needs
c. Take primary responsibility for answering the department phone and responding to department emails; handle calls and
questions from customers with professionalism and respect
d. Register and drop students; ensure payments are processed as necessary; handle tuition authorizations as necessary
4. Manage relationships with students
a. Communicate with students and customers about their educational needs and provide effective counseling regarding how students can/should progress through our programs
b. Convey course information to students; assist students in selecting appropriate classes; track student progress; review student records for certificate completion; print and deliver certificates for students who complete our programs
c. Communicate with students regarding class cancellations
d. Gather evaluations to determine effectiveness of classes
e. Manage office finances, including accounts receivable and payable, payments on long-term contracts, instructor payroll, and review of montly Purchasing card and budget activity
5. Day to day office management
a. Assist with inputting appropriate events on the Professional Education calendar
b. Assist with invoicing process as necessary
c. Maintain records, reports, files and data on all activities relating to student and academic programs
d. Performs clerical support, as needed, including scheduling appointments, participating in departmental meetings, responding to phone calls, and typing correspondence.
6. Completes related duties as assigned.

Bachelor’s degree in a related field plus one year directly related experience or equivalency required. Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Strong customer service and team orientation; experience with Excel and database programs is a plus.
