This individual provides complex, administrative support in the Chair’s office of the Internal Medicine Department and will be part of the department’s central administration. We seek candidates with a professional, positive attitude and service orientation to join our team.
1. Serve as a first point-of-contact for faculty, staff and visitors calling and coming to the Internal Medicine office, including greeting and directing those individuals.
2. Provide administrative support to department management by scheduling appointments and providing other general administrative support.
3. Plan, coordinate and facilitate special events including conferences, seminars and receptions as requested or assigned.
4. Coordinate travel arrangements and reconciliation for recruitment visits, speakers and Department personnel.
5. Compile, reconcile and maintain eJournal and other financial records as directed.
6. Provide other general office support, including organizing data for reports, processing mail, maintaining office supplies/equipment, dispensing and tracking department keys and other duties as assigned.
The incumbent is expected to be familiar with the department’s policies and procedures and have working knowledge of University and department organizations and procedures in order to answer and assist staff and visitors.

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

•Moderate to advanced computer skills. Proficiency with Microsoft Office, and strong ability in Excel preferred.
•Demonstrated strong coordination and organizational skills.
•Bachelor’s degree in business administration or related field.
