Job Summary

The Division of Pediatric Critical Care at the University of Utah School of Medicine has an immediate opening for an Administrative Assistant. This is an exciting opportunity to serve as an Administrative Assistant for theNIHfunded Utah Trials Innovation Center (TIC). TheTICis part of an initiative to create the Trial Innovation Network as part of the Clinical and Translational Science Award (CTSA) Program. In this position, there are opportunities to work with a high functioning, cutting edge team that will study, understand and improve multi-site translational research. The Administrative Assistant provides complex administrative support for the Utah Trial Innovation Center (TIC) and coordinates and oversees the work of support staff.

Responsibilities

1.Serves as an administrative contact for the UtahTIC.

2.Manages calendar for Executive Director.

3.Schedules and coordinates webinars, teleconferences, meetings, appointments and travel arrangements forTICManagers and Staff.

4.Creates and maintains organized files in electronic communication system.

5.Prepares agendas and takes minutes at weekly meetings and teleconferences.

6.AssistsTICwith business planning and goal setting.

7.Assists in preparing reports on network status and progress for management and federal partners (NCATS).

8.Works closely with the Executive Director in completing all administrative requests including but not limited to corresponding with members of the UtahTICteam and taking care of their administrative needs.

9.Collects, organizes and analyzes data for specialized reports.

10.Coordinates the collection and preparation of operating reports.

11.Assists with the implementation ofTICSOPs and University policies and procedures.

12.Provides administrative support to Executive Director by scheduling appointments, coordinating meetings and conferences and maintaining and ordering office supplies.

Minimum Qualifications

Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

Preferences

Bachelor’s degree in related area. Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills to prioritize conflicting deadlines. Research skills and attention to detail. Proficiency in MS Word, MS Excel and MS Outlook.
